Office carpet cleaning: a planning guide for office managers
A step-by-step planning guide for office managers and small business owners in Christchurch: what to sort out before booking a carpet clean, how to time it around the working week, and how to keep carpet tiles and entrances looking right between cleans.

This guide is about planning. For an overview of the service itself, see commercial carpet cleaning.
What should I work out before asking for a quote?
A few details make the quote quicker and more accurate. You don’t need exact measurements.
- Which areas: reception, open-plan, meeting rooms, private offices, kitchen or break room, corridors.
- The type of floor: carpet tiles, broadloom, or a mix. A photo of each area helps.
- Problem spots: coffee trails, marks under desks, the main entrance lane.
- Any upholstery: meeting room chairs, reception seating or booth seating.
- When the office is empty or quiet, and which days to avoid.
- Who will be the contact on the day, and how I get in.
Quotes are per site. For larger offices I’m happy to look at the site first, and your price is confirmed before work starts.
When is the best time to clean office carpet?
When people aren’t walking on it. Evenings and Saturdays can be arranged where that fits your office, so the carpet has time to dry before the next working day. Jobs run Monday to Saturday.
Drying depends on ventilation, the weather, the carpet fibre and how soiled it was. Leaving the air conditioning or heat pumps running helps. I’ll give you guidance on the day about when each area is ready.
If after-hours isn’t possible, the office can be done in zones during the day: meeting rooms while they’re not booked, then open-plan sections while people work elsewhere.
How should the office be prepared?
- Clear the floor under desks: bins, bags, boxes, footrests and power boards where possible.
- Chairs can be moved by me, but desks with computers stay where they are. I clean around and under where it’s practical.
- Cables on the floor should be lifted or tidied out of the way.
- Let people know not to leave anything on the floor the night before.
- Plan parking for the van near the entrance. Hoses reach roughly 45 m.
- Show me an outside tap. If there isn’t one, I can usually connect to an indoor tap with an adapter. It just takes more setting up.
Protective film goes under furniture legs that have been moved. For upper-floor offices beyond hose reach, I offer a low-moisture clean instead, which is a lighter clean. I’ll tell you which applies after seeing the building.
Do carpet tiles need a different approach?
Carpet tiles take hot water extraction well. The usual problem is uneven wear: the tiles in the main walking lines and around the kitchen look worse than the ones under desks. A good clean evens that out a lot, but it won’t make worn tiles look new.
If some tiles are badly stained or worn, it’s worth asking whether you have spares. Swapping a few tiles after the clean is often cheaper than chasing a stain that will only lighten. I’ll tell you honestly which ones are which.
What about entrances and reception?
The entrance is where most grit comes in, and grit is what wears carpet. It’s also the first thing visitors see.
- A good entrance mat, cleaned regularly, catches much of the dirt before it reaches the carpet.
- The entrance and reception can be cleaned more often than the rest of the office.
- Coffee and food trails from the kitchen are usually the second worst area.
Can chairs and booth seating be cleaned at the same visit?
Yes. Fabric office chairs, meeting room chairs, reception couches and booth seating can be done alongside the carpet. I look at the fabric and test a hidden spot first. Vacuum-only (X-coded) fabrics aren’t something I take on. More on the upholstery cleaning page, and fabric care labels are explained in the upholstery codes guide.
How often should office carpet be cleaned?
It depends on how many people use the space, how much comes in from outside, and how often it’s vacuumed. Rather than one big clean when it looks tired, many offices do better with a simple plan:
- Entrances, reception and kitchen areas on a shorter cycle.
- Open-plan walking lines in between.
- Private offices and quiet meeting rooms less often.
We can set the plan after the first clean, once I’ve seen how the carpet responds. More general guidance is in how often to clean carpets.
What paperwork can you provide?
I invoice the business for every job. Health and safety documentation and proof of $1M public liability insurance are available on request, and I’ll follow your site sign-in or induction if you have one.
J.S. Carpet Cleaning is owner-operated. The person who quotes is the person who does the job, so you have one contact and the same person each time.
Frequently asked questions
Do we need to move the desks?
No. Desks with computers stay where they are. Clear bins, bags and boxes from under them, and I’ll clean around and under where it’s practical.
Can you clean in zones while we’re working?
Yes, if after-hours doesn’t suit. Meeting rooms and sections of open-plan can be done while people work elsewhere, with signage on damp areas.
Will cleaning fix worn carpet tiles?
It will improve them, but worn tiles won’t look new. If you have spare tiles, swapping the worst ones after the clean is often the better option.
What do you need to give a quote?
A list of the areas, the type of carpet, photos of any problem spots, and when the office is quiet. For bigger offices I’m happy to look at the site first.
Do you need a tap on site?
Yes, an outside tap is the norm. If there isn’t one, I can usually connect to an indoor tap with an adapter. It just takes more setting up.
